A useful shortlist answers more than “Who did we find?” It explains the proposed campaign role and the evidence behind the choice. Record audience fit, relevant content, the required format, and the next unresolved question, such as pricing or availability.

Use exclusion notes carefully. Distinguish a temporary mismatch from a lasting problem. An unsuitable quote, a scheduling conflict, weak results in one campaign, and a brand-safety concern should not become the same undifferentiated rejection. Include the context and review date in your decision record.

Before outreach, review the list for duplicate profiles, candidates who do not meet the brief, and creators already contacted by another teammate. Keep a separate commercial status record where your workflow requires it.
